IEEE PES T&D Show Policies

Event Access & Participation

Age Policy (16+)

Only individuals age 16 and older will be permitted in the exhibit hall or session rooms. No infants or children under 16 will be allowed, and childcare services are not provided.

Conduct, Health, & Safety

Health & Safety Guidelines

The health and well-being of our community is a top priority. IEEE PES T&D will follow applicable public health guidelines at the time of the event. More details will be provided as the event approaches.

IEEE PES T&D strictly prohibits “outboarding”—unauthorized events scheduled to compete with or benefit from the official show without approval from event organizers. This practice is unethical and undermines the investment made by official sponsors and exhibitors. Violations will be addressed directly and may result in removal from the event.

Only contracted exhibitors and sponsors may solicit business on-site. “Suitcasing”—promoting products or services without being a confirmed exhibitor—is not allowed. Non-exhibiting attendees found soliciting in aisles, public spaces, or other exhibitors’ booths will be removed and may face additional penalties. Please report violations to Show Management.

Privacy & Media Guidelines

Data Collection

By registering for IEEE PES T&D, you consent to the collection, use, and storage of your personal data in accordance with IEEE’s policies and applicable U.S. law.

By attending, you grant permission for your image to be captured in photography or video and used by IEEE and its partners for promotional or editorial purposes.

Audio/video recording, photography, and live-streaming of any kind may only occur with prior consent from the individuals being recorded.

Members of the press must register for an official media badge and agree to IEEE PES T&D’s media guidelines. Unauthorized use of media credentials may result in badge revocation.

Exhibitor Policies

Exhibit Space Selection & Seniority

Exhibit space is assigned based on a seniority point system. Exhibitors with the most accrued points receive early access to select booth space. Seniority is based on factors such as years of participation and sponsorship history.
